Legal Questions
Practical answers about using Ilmiya and protecting information, with links to the relevant policies and agreements.
General Questions
What is Ilmiya?
Ilmiya provides an education platform and learning materials that institutions and educators use to deliver and manage their educational offerings. The purchased Services determine the features and curriculum available to authorized users. An institution may present its offering under its own name and brand.
How do I get started?
Open Login and enter your school or institution code to reach its sign-in page. Your institution provides your account and access instructions. An organization considering Ilmiya can contact our team about its needs. Existing organizations can speak with their account manager or sales contact.
Account Questions
How do I create an account?
The school, organization or independent educator responsible for your learning environment arranges authorized access. Ask its administrator for your account details and institution code. The public website does not create an unmanaged student account.
How do I reset my password?
Open your institution’s sign-in page through Login and use its password-recovery option where available. Your administrator can help if that option is unavailable or your account uses another sign-in provider. Do not send passwords or authentication codes in a support request.
Agreements and Privacy Questions
Which agreement applies to my organization?
Your signed Order and Master Service Agreement set the commercial terms. The Data Protection Addendum governs personal data processed for your organization. The Terms of Service explain the terms for visitors and authorized users. Each agreement explains which document controls if terms conflict.
Where can parents and students find privacy information?
The Children’s and Students’ Privacy Notice explains learning records, recordings, and communications. School and Institution Consent supplies the direct notice and an editable parent consent template. Before student access begins, the Customer must establish lawful school authorization or collect and document the parental or other permission required for that use. Ilmiya retains its operator duties. Voice and AI services are optional; learners can decline them and retain the core learning service.
Who decides when organization records are deleted?
Your organization sets a lawful retention schedule for its education records. We recommend reviewing and removing accounts inactive for more than 12 months when continued access is unnecessary. Removing a login does not necessarily delete shared messages or other records that the organization still lawfully needs.
We complete a valid deletion request from an authorized organization contact within 30 calendar days, subject to any earlier legal deadline and a limited legally required hold. When the service ends, there is a 30-day export period. A restricted recovery copy may remain for a documented lawful need for up to 12 months from service end, with earlier deletion when requested, no longer needed, or required by law. The DPA’s retention section gives the full terms, including backups.
Does the website use cookies?
The Cookie Notice covers cookies and similar storage on the public website. Use Open cookie settings on that page to review your choices. A website analytics choice does not change a school’s handling of education records.
Is my information used to train AI?
We do not currently train or fine-tune models on customer information, and we do not allow third-party providers to train on it. Any future customer-specific training, including LoRA, would require a separate written agreement and any permissions required by law before it begins. The Responsible AI Statement explains this approach; the DPA sets the contractual limits.
Can every country use the same documents?
Yes. Our Global Privacy Policy, MSA and DPA provide one global framework. All features are available across countries within the purchased service, subject to mandatory law. Applicable local rights and duties continue to apply. Customer Data is currently hosted, stored and processed in the United States.
Where a data flow requires international transfer safeguards, those safeguards must be in place for that processing. The DPA explains the parties’ responsibilities; any required transfer terms are agreed separately. Contact our legal team about your organization’s arrangements.
Are statements part of my contract?
Our statements explain how we approach topics such as AI and accessibility. We remain responsible for the claims we make and the legal duties that apply. Binding use rules are in the Acceptable Use Policy; customer contracts identify the documents they incorporate. The Accessibility Statement explains our current approach without claiming tested conformance.
Are service credits included?
The standard Master Service Agreement does not include service credits. An enterprise or commercial customer may negotiate a separate signed service-level arrangement. Any resulting commitment and remedy apply only as stated in that agreement.
What governs a reseller relationship?
The Reseller Agreement permits worldwide resale of all commercially offered Ilmiya products, subject to applicable law. The signed commercial schedule sets compensation and settlement terms. The MSA governs the Customer’s subscription; resale does not transfer Ilmiya’s intellectual property.
May we adapt the supplied curriculum or use our own brand?
Yes, within the standard curriculum license and purchased scope in section 8 of the MSA. You may adapt and translate included materials, combine them with your own content, and share them with authorized staff and enrolled learners as part of your own branded educational offering. You may charge for that offering without becoming an Ilmiya reseller. Separate course approvals or a curriculum register are not required. You retain your original content; Ilmiya and other licensors retain their underlying materials. Standalone resale of those materials requires a separate agreement, and applicable third-party licenses remain in force.
How do I get help?
For account or learning support, students should contact their school, organization or educator. A parent or guardian can help them reach the right person. The organization can identify the administrator who handles the account and records. Organizations can contact their account manager or sales contact, or use legal inquiries for questions about their agreement or data responsibilities.
For legal questions, privacy requests or a privacy complaint, use the legal inquiry form. You can also email legal@ilmiya.com directly. You do not need an account manager’s approval to exercise a privacy right. Keep the initial message brief and leave out student records, passwords and voice recordings. We will arrange a suitable way to obtain any information we need.
Privacy and Trust Questions
What guides Ilmiya’s approach to trust?
Our Trust Philosophy explains the principles that guide how we build and provide education services. The Student Privacy Commitments describe the protections we make for learner information. You can find the related agreements and notices in the Legal Center.
Who decides how my learning records are used?
Your organization or educator normally decides which educational services to use and why your information is needed. Ilmiya processes those records under authorized instructions. Our role is that of a processor, or a subprocessor when the Customer is itself processing for another institution. The organization’s own privacy notice explains its choices; our Global Privacy Policy explains Ilmiya’s role, including the website and business information we control.
What information is collected about a learner?
The information depends on the selected service. An institution may provide account or roster details, and learning activities may create submitted work or progress records. Enabled communication, AI or voice features can involve messages, prompts, recordings and related outputs. The Children’s and Students’ Privacy Notice explains the categories and their purposes. Your organization must provide the required notice and establish the appropriate authorization before the relevant use begins.
Who can see my messages and AI conversations?
Access depends on your organization’s permissions and the recipients of a conversation. Your school or educator may be able to see messages and AI chats on an account it provides. Ilmiya personnel and providers may access information only for authorized service, security and legal purposes. The student privacy notice explains these arrangements. Ask your organization about the access settings for your account.
Does Ilmiya sell student information or use it for advertising?
No. We do not sell Student Data or use or disclose it for advertising. Learning profiles must stay within the education and administration the Customer lawfully authorizes. The Student Privacy Commitments explain these limits. Optional measurement on the public website follows the separate choices in the Cookie Notice.
Can I use the learning service without AI or voice?
Yes. AI and voice services are optional, and learners may decline them while keeping access to the core learning service. Ask your organization or educator about the choices for your account; a family member can help you with that conversation. The School and Institution Consent framework explains feature permissions and withdrawal. Permission to use a device microphone does not replace any legally required recording or parental consent.
Which providers help deliver Ilmiya?
The Subprocessors and Service Providers register identifies each provider’s role and the information involved. A listed provider receives information only when the corresponding service or feature is used. Providers processing Customer Data for Ilmiya are subject to the DPA. A separate service chosen by an institution has the role explained in our Third-Party and Integrations Policy.
How can I exercise my privacy rights?
For learning records, contact the organization or educator responsible for your account. Students can ask their family to help. You may also send a request directly to legal@ilmiya.com or use the legal inquiry form. We assist the Customer and respond directly when the law requires us to do so. Identity and authority checks must be proportionate to the request. The Global Privacy Policy explains available rights and response periods, including complaints and any applicable appeal route.
Where can an organization prepare a notice for families?
Use the notice builder or the editable template in School and Institution Consent. The organization supplies its contact details and the relevant service choices, then delivers the notice and administers any required consent through its own process. The resources do not collect completed family forms for Ilmiya. The consent framework explains when lawful school authorization is available and when parental or other permission is required.
What if I need an accessible format or cannot use a feature?
Ask your organization to help with access to its learning activities. You may also report a barrier or request an alternative format through legal inquiries. Identify the page or material and explain what you need; you do not need to disclose a disability or medical information. Our Accessibility Statement describes the scope of our approach and how we consider requests.
